Many hotels measure the guest experience from the moment of check-in. For the guest it starts much earlier, with the website, the booking confirmation and the first message they receive.
Each of these touchpoints sets an expectation. A clear confirmation, a short pre-arrival message with directions and transfer details, and a prompt answer to a question all signal that the property is organised and welcoming. Silence, unclear terms or last-minute surprises do the opposite.
The most useful pre-arrival steps are usually simple: confirm the arrival time and transport, ask about dietary needs or special occasions, explain what to expect on arrival and give a named contact. These take little time and often prevent the problems that lead to complaints.
Reviewing the whole journey from the guest’s point of view, from search to departure, often reveals easy improvements. It is one of the first areas RIZ examines when helping a property strengthen its guest experience.
